Privacy PolicyHow we handle your information
Privacy Policy
To arrange a wheelchair-accessible outing, Elytra Inc. (“we”) needs to hold personal information about you — including details of your physical condition and the assistance you need, which are particularly sensitive. We handle that information in line with Japan's Act on the Protection of Personal Information (the “APPI”) and related laws, as set out below.
This is a translation provided for convenience. If the English and Japanese versions differ, the Japanese version governs.

02What we collect
- Your name, phone number, email address and postal address
- Details of the outing: where you would like to go, when, and how many people are coming
- Information we need in order to drive and assist you safely — your physical condition, relevant medical history, the assistance you need, the mobility equipment you use, and whether any medical care is involved
- Information relating to payment
03Health-related information
Information about your medical history or a physical disability counts as “special care-required personal information” under the APPI. We collect and use it only as far as we need to in order to take your booking, discuss it with you beforehand, and assist you on the day.
Where the person concerned (or a family member or other representative acting for them) tells us directly — by email, phone or the form — when enquiring or booking, we treat that as consent to our holding it.
We do not pass it to anyone else except with that person's consent or where the law requires it. We do not use the APPI's opt-out route for providing this information to third parties.
04What we use it for
- Taking your booking, proposing a plan, quoting and agreeing terms
- Driving you safely and providing assistance suited to your condition on the day
- Contacting you before and after the outing, and answering your enquiries
- Invoicing and managing payment
- Responding to an emergency such as an accident or sudden illness, which may include contacting medical services or your family
If we ever need to use your information for any other purpose, we will ask for consent again first.
05Sharing with others
We do not provide your personal information to third parties, except where:
- the person concerned has consented;
- the law requires it; or
- it is necessary to protect someone's life, body or property and consent cannot reasonably be obtained.
06Contractors
We may entrust the handling of personal information to an outside contractor as far as we need to for the purposes above. For example, the nurse or care worker who accompanies you on the day may be engaged through another provider.
Where we do, we supervise that contractor appropriately. A contractor may handle your information only as we instruct, and never for any other purpose.
07Keeping it safe
We limit who handles personal information and set rules for how paper records and electronic data are managed, so as to guard against unauthorised access, loss, leakage and alteration.
08How long we keep it
We keep personal information for as long as we need it for the purposes above, and for any period the law requires us to retain it. After that we delete or dispose of it appropriately.
09Your requests
The person concerned — or a family member or other representative acting for them — may ask us to:
- tell you the purpose for which we use the data;
- disclose the personal data we hold about you, including in electronic form;
- correct, add to or delete it;
- stop using or erase it; or
- stop providing it to third parties.
How to ask
Email us at anz.elytra@gmail.com. We will ask what you need and take you through the steps. It is the same address we use for bookings, so putting “personal information” in the subject line helps us spot it.
Confirming who you are
We will ask for details we can check against our records, such as your name, address and contact details. If a family member or other representative is asking on someone's behalf, we may ask for a document showing their authority to act.
We will answer as soon as we can once we have confirmed what you are asking for. Because we are out running outings, checking and replying can take us a little time; if it does, we will let you know.
